How Teambotics handles visitor, contact, and chatbot information on the public site.

Overview
Teambotics ("we," "our," or "us") operates the website at teambotics.app (the "Site"). This Privacy Policy describes how we collect, use, and handle information when you visit the Site, submit a lead form, or interact with our chatbot assistant.
We keep this policy as plain as possible. If you have questions, contact us at hello@teambotics.app.
Information We Collect
1. Information You Provide Directly
Lead form submissions. When you submit the contact or lead form on the Site, we collect the fields you complete: name, email address, organization, interest area, and message. Submission is voluntary.
Chatbot interactions. If you use the chatbot assistant on the Site, your typed messages are processed to generate a response. We may log those interactions for quality and safety review. Do not enter personal, financial, medical, legal, or confidential information into the chatbot.
2. Information Collected Automatically
Analytics. We use Vercel Analytics and Vercel Speed Insights to collect anonymized, aggregate data about how visitors use the Site. This may include pages visited, referral source, browser type, device type, and general geographic region. This data does not include personally identifiable information in a form that identifies individual visitors.
Cookies and local storage. The Site may use cookies or browser storage for functional purposes, such as remembering your theme preference. We do not use third-party advertising cookies. If we add analytics or marketing cookies in the future, this policy will be updated before they are deployed.
Note: Vercel Analytics operates without cookies and does not collect personally identifiable data. No cookie consent banner is required for analytics under current configuration. If a consent layer or additional tracking is added in future, this section must be updated before deployment.
3. Information We Do Not Collect
We do not collect payment or financial information through the Site. We do not build behavioral advertising profiles. We do not sell personal information.
How We Use Information
Information collected through the Site is used to:
- Respond to lead form inquiries and follow up on expressed interest.
- Operate and improve the chatbot assistant.
- Understand how the Site is used so we can improve it.
- Comply with applicable legal obligations.
We do not use your information to make automated decisions that have legal or similarly significant effects.
How Information Is Stored
Hosting. The Site is hosted on Vercel. Vercel processes traffic and may store server-side logs in connection with site operation. See Vercel's privacy documentation for details on their data practices.
Lead form data. Submitted form data is stored in a Neon-hosted PostgreSQL database. Access is restricted. We take reasonable steps to protect data in transit and at rest.
Chatbot processing. When the chatbot feature is active, your messages may be sent to OpenAI's API for processing. OpenAI processes inputs under their own terms of service and privacy policy. We do not use chatbot interactions to train OpenAI's models under our current agreement.
Note: OpenAI's API terms (as of 2024) state that data submitted via the API is not used to train models by default. Verify this remains current before publishing. A formal Data Processing Agreement with OpenAI is recommended if the chatbot handles any personal data from users — confirm with counsel whether the current use case requires one under PIPEDA.

We use GitHub internally for documentation management. GitHub is not a processor of public visitor data through the Site.
We are not responsible for the privacy practices of third-party services. We recommend reviewing their policies directly.
Data Retention
We retain lead form submissions for up to 24 months from the date of submission, unless you request deletion earlier. Chatbot interaction logs, where retained, are kept for up to 90 days. We retain data only as long as reasonably necessary for the purposes described in this policy or as required by law.
Your Rights
Depending on where you are located, you may have rights regarding your personal information, including the right to:
- Request access to information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your information, subject to applicable legal requirements.
- Withdraw consent where processing is based on consent.

Teambotics Inc. is incorporated in Ontario, Canada. This policy is written in compliance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law. If you are located outside Canada, please be aware that your information may be processed in Canada. We do not currently direct our services at residents of the EU/EEA or California, and do not make representations under GDPR or CCPA. If this changes, this policy will be updated accordingly. Confirm with counsel before publishing if the user base includes EU or California residents.
Children
The Site is not directed at children under 13. We do not knowingly collect information from children. If you believe a child has submitted information through the Site, contact us at hello@teambotics.app.
Changes to This Policy
We may update this policy from time to time. When we do, we will update the "last updated" date at the top. Material changes will be noted here.
